Payment reminders without losing the customer

When you may send reminders, what you may charge, and how to do it so the customer pays, and comes back.

Illustration for the guide: Payment reminders without losing the customer

Most unpaid invoices are not bad payers. They are forgotten invoices. Treat them that way.

Reminder 1: The nudge (day 1–3 after the due date)

Friendly, short, no fee. "We can see that invoice 1042 for DKK 4,500 was due on the 14th; has it perhaps been overlooked?" Attach the invoice again and the payment link. This resolves 70–80 % of cases.

Reminder 2: With a fee (day 10–14)

Now you may charge a reminder fee of up to DKK 100 per reminder (at most three reminders, at least 10 days between each) and interest from the due date. Say so clearly, but calmly. You are still helping the customer get it done.

Reminder 3: Notice of debt collection (day 24+)

The last step before debt collection. You must give written notice of debt collection with at least 10 days' notice before the case can be handed over. This is where most stop being "forgetful".

What you may not do

  • Charge more than the fixed fees and interest.
  • Send reminders a few days apart "to apply pressure".
  • Threaten things you won't do.

Avoid getting there

Shorter payment terms, a payment link on the invoice, and invoice immediately. And for larger jobs: an advance invoice at the start. It is not distrust, it is normal practice, and it keeps the cash flow alive.

What LegaSum does

When an invoice passes its due date, LegaSum creates the reminder sequence itself: nudge, reminder with fee, notice of debt collection, with the right intervals between them. If the customer pays along the way, the sequence stops. If a customer needs special treatment, you put one note on the customer and the sequence follows it.
